MW Experiences (referred to as “MWE”, “we”, “us”, or “our” in this policy) is a Toronto-based premium event planning company specializing in curated experiences, premium event access, and travel arrangements for individuals and corporate clients.

We provide access to exclusive events, international travel, and tailor-made experiences through our website and direct client engagement.   • Preference & Special Category Data: Dietary restrictions, accessibility requirements, and specific personal preferences required to curate your experience.

  • Technical Data: IP address, browser type, and interaction data when you use our website.

We only use your personal data when the law allows us to. Below are the purposes for which we use your data and our lawful basis for doing so:

  • Performance of a Contract: To process your bookings, secure event tickets, arrange travel, process payments, and deliver the services you have hired us for.

  • Explicit Consent: To process "Special Category Data" (such as health-related dietary or accessibility needs) to ensure your safety and comfort during events. We also rely on consent to send you marketing communications and newsletters. You may withdraw consent at any time.

  • Legitimate Interest: To respond to general enquiries, manage our client relationships, improve our website, and maintain the security of our business operations.

  • Legal Obligation: To comply with tax, accounting, and regulatory requirements.

We respect your privacy and do not sell or rent your personal data to third parties. We only share your information with trusted partners strictly necessary to operate our business and deliver your experiences:

  • Fulfillment Partners: Event organizers, ticket brokers, hotels, airlines, and local concierge services. We only share the minimum data required to secure your booking and ensure your experience is seamless.

  • Service Providers: Third-party platforms that run our operations, including Stripe (secure payment processing), Zoho (customer and project management), and Google Workspace (internal communications and operations).

These third parties are contractually obligated to protect your data and may only use it for the specified purposes.

5. International Data Transfers

MWE is based in Canada but operates and serves clients globally, including in the United Kingdom and the United States. As a result, your personal data may be transferred to, and processed in, Canada or other countries outside of your resident jurisdiction. When transferring data internationally, we implement appropriate safeguards to ensure your information remains protected in accordance with the UK GDPR, PIPEDA, and applicable US privacy laws.

  • Client & Transaction Data: Retained for up to 7 years after the completion of your event to comply with Canadian and international tax, accounting, and legal requirements.

  • Enquiry & Marketing Data: Retained for business follow-up until you unsubscribe or withdraw your consent. You may request the deletion of this data at any time.
